TRUSTeVote allows each voter to nominate another person as proxy or authorized representative to cast a vote on their behalf. Each voter can choose more than one authorized representative, but only the vote cast last will be taken into account. An institution such as a Bank, can identify specific employees and nominate them to vote on behalf of the institution. This feature is especially useful in case of home buyers where joint ownership of property is often the case.
On casting their vote, voters get a receipt which acts as proof/authenticity of vote cast. This is especially useful in case of voting by proxy and authorized representative.
A voter is able to view the history of votes cast, including recast of vote, if any, under Vote History feature.
A Voter is updated on all matters related to the Poll through either SMS or email notifications sent to their registered contact details. Vote Reminder notifications serve the objective of enabling the voter to participate in the Poll. Such notifications play an important role in ensuring that the Voter is aware and updated of any changes about the Poll.

Role management ensures that each user is assigned a role and can only perform the functions associated with that role. Administrators can assign/ revoke roles such as Observer, Scrutineer, Support etc. This ensures that each person can be held accountable for their actions in a particular role and the integrity of the process is never compromised.
TRUSTeVote platform’s Bulk Upload facility can be used to update and upload all voter detail in a batch Instead of entering each voter’s particulars online one at a time. Bulk upload also saves you time if you have multiple sessions of voting.
Each voter’s unique USER ID is checked and authenticated at the time of account creation. Also at login it is authenticated and verified using RECAPTCHA.
Reminder messages are used to ensure that all voters are notified of the poll, encouraging them to cast their vote before the poll ends. Reminders can also be scheduled beforehand or can be sent instantly to individual voters or to the entire list of voters.
In addition to reminder notifications, tailored notifications can be sent to all voters as an e-mail or SMS to alert them of any updates or changes in the poll. This includes reminders for start or end of a poll, change in poll start or end dates and times, or changes in user roles.
TRUSTeVote has no restriction or additional cost based on the number of ‘Items to vote on’ in a single poll.
This feature permits the Organizer of a Poll to extend the end time of a poll at no additional cost.
An organizer can track voter status during a live poll and send reminders to those who have not yet cast their vote. This feature helps to ensure high voter participation.
This is unique feature of the TRUSTeVote platform. Using this feature the Organizer can track all communications sent to Voters, Observers, Scrutinizers, and Authorized Representatives. The status of SMS and emails sent during the Poll to them can be tracked on a real time basis. The Organizer will be updated as and when these communications are delivered, opened, or viewed. All links, especially links to vote, can be tracked to confirm if the recipient has clicked on the link. This feature is an important tool to resolve any dispute about recipients not receiving or being able to access communications sent by the Organizer.
After the Poll ends, a report can be generated automatically by the Organizer, unless the Unlock Poll Result feature is selected by the Organizer Poll when the Poll is set up.
This feature permits the Organizer to customize each invoice raised for a poll in the name of a specific Client or in their own name. This is a useful feature that can aid the Organizer to service their Client’s needs while keeping track of accounting and administration details.
With this feature, the Organizer cannot access the poll result when the Poll ends. Only the Scrutineer can access and view the results, and can subsequently grant access to other roles. This feature is implemented only if the Organizer selects this option at the time of poll creation. The objective of this feature is to maintain secrecy and enhance authenticity of the result.
Using this service an Organizer can set up and manage polls using the support services of TRUSTeVote team at no additional cost. Based on information provided by the Organizer, the support team will create the Poll, add Items to vote on and Voters, and assist the Organizer in managing the Poll.
At the end of a poll, the result will be automatically generated and sent to the Organizer. In Polls where the Scrutineer is to unlock the result, this facility will not be made available. The result report can be generated with several customization options. The Organizer has the option of sharing this report with the voters.
Using this feature the Organizer can record the exact location (latitude/longitude) of the IP address from where a vote was cast.
This feature is designed to allow the Organizer to copy an existing Poll. He can then make any necessary edits to the Poll to create a new Poll. This benefits the Organizer as he can save time and effort in managing Polls.
When an eligible voter is unable to cast the vote in a poll, they can appoint a proxy(ies) to cast the vote on their behalf. In the case of an institution the proxy(ies) can be one or more authorized persons representing the institution.
When an Organizer publishes a poll the voters can either register before voting or can vote without registering by just clicking on the Direct Voting Link provided in the notification email.
With the objective of protecting the privacy and integrity of your voters, we have implemented end-to-end encryption. Included in our security features are encryption transport layer protocols such as SSL, encryption at the client end and two-factor authentication for login.
The application has undergone Security Audit & Assessment by certifying agencies to comply with applicable OWASP (Open Worldwide Application Security Project) Standard.
All Poll and User data is securely stored and regularly backed up on the Amazon Cloud platform (CDN Datacentres) to preserve and protect it against unauthorized access and to guard against disruption of service due to natural disasters.
This feature is unique to TRUSTeVote platform. It provides a history of login user details and is very useful as it highlights erroneous and failed login attempts, thereby ensuring that the User’s account integrity is never compromised.
TRUSTeVote platform is hosted on Amazon Cloud in two geographically separated regions connected via dedicated high-speed data links to ensure availability and reliability of service without any disruption.
On the TRUSTeVote platform the Organizer can choose different types of Items to vote on depending on the type of response expected from the voter. You can choose between Single Select or Multi Select or Restricted Multi Select options with the ability to further customize it by adding text, image, or both to elicit an informed response from the voter.
An Organizer can set up a poll to conduct “Secret Ballot” by masking the identity of the voters with different anonymity levels.
An organizer can attach documents with each Poll and/ or each Item in a Poll. This enables sharing of relevant information with the voter enabling them to make a well-informed decision. Data that pertains to the entire Poll can be uploaded as Poll Level file(s) whereas data that is associated with a specific Item can be attached to the Item. This feature is especially useful during elections where each candidate’s photo and resume can be attached so that the voter can make an informed decision.
If selected by the organizer this feature enables the voter to change the vote cast any number of times until the time the Poll ends.
Each voter is required to confirm the vote cast. This gives the voter the opportunity to review the vote and change it, in case of any unintended errors. When the Organizer sets up the poll they can configure “Vote confirmation with OTP (One Time Password)”. This feature ensures that only the authorized voter will cast the vote, preserving the authenticity of the vote.
If the Organizer elects this feature for an ‘Item to Vote on’, it allows the voter to skip casting their vote on that particular Item.
If selected, this feature will shuffle the order in which both ‘Items to vote on’ and the ‘Options’ available in each ‘Item to Vote on’ appear. For example, when TRUSTeVote is used to conduct a quiz or exam, each candidate will receive a unique version preventing unauthorized collaboration. The objective of this feature is to prevent any bias or fraud.
Normally each vote cast in a poll has an equal weight; however, there are instances where the vote cast is tied to the ownership stake a voter has, for example, by the number of shares owned, or some other criteria, so that each vote cast has a different weightage depending on the voter. TRUSTeVote allows you to specify the weightage attached to a vote by voter while ensuring that the percentage of weight assigned to all voters in a poll adds up to 100%
When selected by the Organizer this feature enables the Organizer to view the results of the Poll while voting is going on.
TRUSTeVote platform is designed and well equipped to conduct Shareholder Polls. Features like Weighted vote, Voter Proxy, Vote Confirmation and Bulk Voter List Upload enables smooth creation of Poll for Companies registered under the Corporations Act, Cooperatives Act, Not for Profit Corporations, etc. File Management feature pairs well with Shareholder/Stakeholder Poll.
An audit trail Is a documented trail of all users’ and system activities captured with a timestamp in sequential order. It helps detect unauthorized use, fraud, and malpractice. In the case of a dispute, an audit trail provides the incontrovertible evidence to settle a dispute. Additionally, The TRUSTeVote platform provides an audit trail for the messaging services and the voting link. It can verify when an email has been delivered, viewed and the voting link is accessed. In the event of a challenge, depending on anonymity levels, each voter’s history will be available for audit purposes.
‘Communication Status’ is a key feature of the TRUSTeVote platform. With this feature the Organizer can track all communications sent to Voters, Observers, Scrutineers, and Authorized Representatives.
